- DEFINITION OF SHAREWARE

- Shareware distribution gives users a chance to try software
- before buying it. If you try a Shareware program and continue
- using it, you are legally required to register. With
- registration, you get anything from the simple right to continue
- using the software to an updated program with printed manual.

- Copyright laws apply to both Shareware and commercial software,
- and the copyright holder retains all rights, with a few specific
- exceptions as stated below. Shareware authors are accomplished
- programmers, just like commercial authors, and the programs are
- of comparable quality. (In both cases, there are good programs

- INTRODUCTION & QUICK START
- ==========================

- WordPerfect can create letterheads, invoices, and fax cover
- sheets that look professionally printed. The table feature
- creates the boxes within the invoice form, and large print can be
- used in letterheads, even on printers without large fonts, by
- creating the large text with scalable fonts, the Equation Editor,
- or a graphics package. The macros and templates in this guide
- will allow you to create fax cover sheets on your new letterhead,
- or invoices and correspondence that include graphics designed to
- prompt your clients for quick payments, to guide shippers with
- delivery instructions, and to guide your office staff with
- informational messages.

- WORDPERFECT 6.0 OR 5.1?
- -----------------------
-
- Throughout this manual, when the keystrokes and procedures are
- the same for both WordPerfect versions, the steps will be listed
- only once. However, when the steps are different, you will see
- this:
- WP51: Do these steps in WordPerfect 5.1
- WP60: Or these in WordPerfect 6.0.
-
- GETTING STARTED:
- ----------------
-
- 1) Copy the files to your hard disk.
-
- In WP 6.0: Run the WP 6.0 macro, INSTALL.WPM, included with this
- package, to automatically install the files. See page 9 for help.
-
- In WP 5.1: Use the DOS batch file SETUP.BAT, included with this
- package, to automatically install the files in the C:\LTRHEAD and
- WP macro directories. See page 8 for help.
-
- 2) Try out the LTR macro. (There are instructions for running
- macros on page 11.) Run the LTR macro, and choose 1 or L for the
- main letterhead. Clear the screen and run the macro again, and
- select 3 or B to create an invoice, type some amounts in the
- invoice and total it with the Total option, and add a payment
- graphic to it with any of the Money, Cargo, or Office options.
- Print a sample, and adjust your print graphics quality if needed
- (see page 18).

- 3) Rename the sample files.
- In WP51: rename LETTER-D.FRM to LETTER.OLD.
- In WP60: rename LETTER6.FRM to LETTER6.OLD.
-
- 4) Create your own letterhead. (Equation Editor hints are on page
- 15.) For WP60, save the file as LETTER6.FRM, in your letterhead
-
-

- directory. For WP51, save as LETTER-D.FRM, and save it in the
- C:\LTRHEAD directory. Add the text <<DATE>> where the date should
- print, and <<START>> where the cursor should be positioned when
- LTR retrieves the form.

- 5) Edit, as desired, BILL.FRM (WP51) or BILL6.FAX (WP60) to
- customize your invoice. DO NOT include the letterhead as a part
- of BILL.FAX or BILL6.FRM. This file should contain only the
- ADDITIONAL formatting and text required for these special
- formats.
-
- 6) Print a sample. Be sure to test the forms by retrieving them
- with the LTR macro, and adding text before printing. You may need
- to add a hard return or three at the end of your letterhead to
- position the start of the text correctly.
-
- Interim Releases of WP: Writing software in a macro language
- is tricky, like controlling a rowboat by towing it from a
- distance of five parsecs. However, The Letterhead Kit for
- DOS has been tested on all releases of WordPerfect 5.1, and
- the macro language in WP 6.0 is feature-oriented rather than
- the old keystroke-recorder, so all the features of LTR and
- LTR-CFG should work in all future releases. BUT, sometimes
- new "features" disable old features. If this happens, try
- turning "off" the new features if the macros don't seem to
- like the new release. When in doubt, write for support--
- there will be either a fix or a new release, as needed, to
- fix any problems caused by new features.

- INSTALLATION
- ============
-
- If you are reading these files on screen, you may print them with
- the PRINTDOC.BAT batch file. (Don't print them from WordPerfect--
- they are formatted with page breaks for printing from DOS.)
-
- From the DOS prompt, log to the directory holding The Letterhead
- Kit distribution files. Start the PRINTDOC file by typing it like
- this:
- printdoc lpt1
- (where lpt1 is the name of your printer--change it as needed for
- your system.)
-
- INSTALLING THE FILES--WP51
- --------------------------
-
- Before installing the letterhead files, make a backup copy of the
- distribution disk, and store the original disk in a safe place,
- preferably in a different location than the backup copy of the
- disk. Install the files from the backup disk, not the original.
-

- The Letterhead Kit must be installed on your hard drive. There
- are two separate routines for installation: For WordPerfect 5.1,
- run SETUP.BAT. (For WordPerfect 6.0, see the instructions on page
- 9.) The SETUP batch file will create a directory on your hard
- drive, preferably named "c:\ltrhead".
-
- You must tell the SETUP batch file what directory is being used
- to hold your WordPerfect macros. If you don't know where WP keeps
- your macros, look in Setup (Shift-F1), choose (6) Location of
- Files, WRITE DOWN the entry under (2) Keyboard/Macro Files, and
- press Exit (F7). Do not make any changes in the Location of Files
- list.
-
- To install The Letterhead Kit macros, type "SETUP" and press
- Enter from the DOS prompt while logged to The Letterhead Kit
- distribution disk or directory. A screen of instructions will
- appear. The SETUP file will 1) copy the macros to your macro
- directory, 2) rename LTR5.WPM to LTR.WPM, and 3) create a
- directory for your letterheads and forms. Once the install batch
- file finishes copying files, you are ready to start using The
- Letterhead Kit--go on to the next section.

- INSTALLING THE FILES--WP60
- --------------------------

- Before installing the letterhead files, make a backup copy of the
- distribution disk, and store the original disk in a safe place,

- The Letterhead Kit must be installed on your hard drive to be
- used easily. There are two separate routines for installation:
- For WordPerfect 6.0, run the INSTALL macro. (For WordPerfect 5.1,

- Start the INSTALL macro as your would any macro, by pressing
- Macro (Alt-F10), typing the drive and path to where the macro is
- now, and "install" and pressing Enter. For example, if the macro
- is on a floppy in drive A:, you would enter "a:\install" as the
- macro name.

- You must tell the INSTALL macro what directory is holding the
- files to copy. INSTALL will already know where you keep your
- macros, and will suggest that the new letterhead directory be
- named "c:\ltrhead". If you will share graphics with The
- Letterhead Kit for Windows or with WordPerfect 5.1, then try to
- use the default choice--it will make your other installations
- easier.

- The INSTALL macro will 1) copy the macros to your macro
- directory, and 2) create a directory for your letterheads and

- forms. Once the macro finishes copying files, you are ready to
- start using The Letterhead Kit--go on to the next section.

- FILE SHARING BETWEEN DIFFERENT WORDPERFECTS
- -------------------------------------------
-
- If you also use other versions of The Letterhead Kit for Windows,
- the packages will share the c:\ltrhead directory, and use the
- same message graphics and scanned signatures. The document
- formats have changed between 5.1 and 6.0, and font changes occur
- between DOS and Windows, so sharing the same document files
- between products will cause reformatting, and so each Letterhead
- Kit uses different letterhead forms.
-
- Once you have created your own custom letterhead, save it as
- LETTER6.FRM from WP/DOS 6.0, and save it in WP 5.1 format as
- LETTER-D.FRM. Retrieve it into the Windows version of WP5.1 or
- 5.2, make any font changes needed, and save it as LETTER-W.FRM.
- Retrieve LETTER-D.FRM from WP/DOS 5.1, edit as needed, and resave
- the file. All three files should be in the same directory as the
- other forms and graphics files.

- SAVING HARD DRIVE SPACE
- -----------------------
-
- The new directory will need approximately 400K of hard disk space
- for the entire package, and after you have customized your
- letterhead you may delete the files with BAT and DOC extensions.
- Only the FRM and WPG files must remain in C:\LTRHEAD.
-
- OTHER DRIVES--WP51 ONLY
- -----------------------
-
- If you choose to install The Letterhead Kit in some other
- directory than c:\ltrhead, and are running WordPerfect 5.1, you
- will need to run SETUP, and then manually edit the directory name
- in The Letterhead Kit's configuration macro, LTR5-CFG.WPM. For
- instructions, see the section named, "Changing Options"
-
- USING A PRE-PRINTED LETTERHEAD
- ------------------------------
-
- If your letterhead is already printed, you can still use The
- Letterhead Kit macros to help you use it. When you create your
- own version of the LETTER-D.FRM or LETTER6.FRM, place only these
- codes in it, in the order below.
-
- 1) If you are using a printer with multiple bins, add a Paper
- Size/Type code that will tell WordPerfect which bin to find your
- printed letterhead in.
-

- 2) A header or footer or page numbering code and a first page
- suppress code. These will add a second-page format to your
- letterhead.

- 3) (REQUIRED) An advance to position code.
- WP60: Press Format (Shift-F8), (7) Other, (6) Advance, (6) From
- Top of Page, and type the starting point on the page where the
- first line of text may be printed. Return to the document screen
- by clicking on OK or Close.
-
- WP51: Press Format (Shift-F8), (4) Other, (1) Advance, (6)
- Position, and type the starting point on the page where the first
- line of text may be printed. Add the text <<DATE>> where the date
- should print, and <<START>> where the cursor should be located
- when you first retrieve the form.
-

- RUNNING THE MACROS
- ==================
-
- Once the macros have been installed in WP's macro directory, they
- may be run in several different ways.
-
- 1) You may run the LTR macro by pressing Macro (Alt-F10), typing
- "ltr" and pressing (Enter). The main menu of The Letterhead Kit
- will appear listing all The Letterhead Kit options.
-
- 2) You may run any macro from the pull-down menu. WP60: Choose
- Tools, Macro, Play, type the macro name, and press (Enter).
- WP51: Choose Tools, Macro, Execute, type the macro name, and
- press (Enter).
-
- 3) You may assign individual macros to an Alternate letter key,
- such as Alt-L. For example, to assign the HELP! macro to Alt-L,
- press List or File Manager (F5), type the name of your WP macro
- directory, and press (Enter). Place the locator bar on LTR.WPM,
- and choose Copy. For the new file name, type "ALTL.WPM" and press
- (Enter). Press Exit (F7) to return to the document screen, and
- test the copy by pressing (Alt-L). The Letterhead Kit's main
- macro box should appear.

- 4) You can assign any macro to a Control key. See the WordPerfect

- with another macro, and NOT retrieve it. For an example of how
- this should be done, look at Alt-E in the Macros keyboard shipped

- LTR--MAIN MENU

- When you run the LTR macro, no matter which of the methods you
- have chosen for running the macro, the results will be the same.
- At any menu, you may exit the macro by pressing Exit (F7), or
- Cancel (F1 in WP51, or Esc in WP60).

- LETTER
- ------

- From an empty document, choosing LETTER will retrieve the
- business letterhead, add the date as text at the position on the
- form where it finds <<DATE>> and position the cursor where it
- finds the text <<START>>. In many cases, depending on the layout
- of your letterhead, the cursor will be on the top line of the
- screen, and no part of your form will be visible. Begin typing
- your letter, or you may move up the page with (Up Arrow) to
- examine your letterhead on screen. If the document is not empty,
- LETTER will automatically position the letterhead and date above
- the existing text.

- The FAX menu options will also position existing text AFTER the
- form, but the BILL selection will position old text after the
- letterhead and date, but BEFORE the invoice box.
-
- FAX
- ---
-
- The FAX entry on the menu does more than just FAXes. Any form you
- like may be used on the FAX menu. Here's how:
-
- 1) Choose your forms. Some good forms for the menu are FAX cover
- sheets, purchase orders, estimates, log forms, and envelopes. The
- advantage of using an envelope here rather than in the WPCorp.
- Envelope macro is this: you can use any envelope format you wish,
- with no limitations, and you may add graphics, including logos,
- or possibly an image from the Cargo menu of shipping graphics.

- 2) Design your form. You may use the <<DATE>> and <<START>> text
- as described above to position your text. If you want the form on
- your letterhead, than design it on your letterhead form.
-
- 3) Save the form in your letterhead directory. The file name may
- be W5FORM01.FRM up through W5FORM10.FRM for WP51, or FORM-01.FRM
- up through FORM-10.FRM for WP60.
-
- 4) Retrieve the configuration file and name your form. See page
- 14 for editing instructions for the configuration files.

- BILL
- ----

- The custom letterhead may be used on an invoice. The macro BILL
- automatically retrieves both the letterhead and the invoice. When
- the macro ends, the cursor will be in the first box at the top of
- the middle column. The date above the table will already contain
- the current date. End each line by pressing (Enter). The cursor
- will jump to the next line of the form only after pressing
- (Enter)--WordPerfect's automatic line wrap feature has been
- turned off inside the table used to create the invoice.

- If there is already text on screen when you choose the Bill
- option, the text will be positioned after the letterhead, but
- before the invoice table.
-
- You can customize the bill for your own purposes: retrieve
- BILL.FRM in WP51, or BILL6.FRM in WP60, and make any changes you
- like. Keep these points in mind:
-
- 1) Use <<DATE>> and <<START>> to mark the date and starting point
- locations.
-
- 2) Don't include your letterhead on the bill--the bill form is
- automatically added to your letterhead.
-
- 3) As shipped, the boxes containing text, such as "Total Now
- Due:" are locked. To unlock a cell for editing:
-
- WP51: Press Columns/Table (Alt-F7), position the cursor in the
- box to be edited, press (2) Format (1) Cell, (5) Lock (2) Off.
- Press Exit (F7) to return to the main editing screen.
-
- WP60: Press Columns/Table (Alt-F7), (2) Tables, (2) Edit,
- position the cursor in the box to be edited, and (1) Cell (8)
- Lock, click on OK, and Close.
-
- You may change the length of the invoice table very easily. To
- add lines, position the cursor in the detail lines portion of the
- invoice, and press Ctrl-Insert. One additional line will be added
- to the table. To remove a line, press Ctrl-Delete, and answer Yes
- to the "Delete Row?" prompt.

- TOTAL
- -----

- Another option, TOTAL, calculates the total for the lines entered
- on the bill. When you run the macro, it will find the table in
- your document, and recalculate all of the calculated values. You
- may use RECALC in other tables as well, but if your document
- contains more than one table, you must position the cursor in the
- table before running RECALC. If the cursor is not inside a table

- when the macro is started, it will recalculate the FIRST table in
- the document. You may edit the total box after calculation if you
- prefer a currency symbol or commas displayed as part of the
- total.

- MONEY, CARGO, AND OFFICE
- ------------------------

- (In version 2.0, these were known as Payme, Shipme and Labelme.)
- The Money option adds payment message graphics to the invoice, or
- any other document. These graphics are similar to the expensive
- labels available for collecting overdue accounts. Cargo adds
- messages such as "Rush!" or "Next Day Air!" or "Magnetic Media--
- Do Not Bend!" Office adds general office messages, like
- "Confidential" or "OK to pay" or "Draft."
-
- To add a message graphic to an invoice, choose Money, Cargo, or
- Office, and select from the list of messages. The graphic will be
- added at the current cursor location.
-
- SIGNATURE AND AUTOGRAPH
- -----------------------
- The Signature option adds the graphic named AUTOGRPH.WPG to the
- current document at the current cursor location, and Autograph
- uses the graphic INFORMAL.WPG. The sample AUTOGRPH.WPG and
- INFORMAL.WPG file included with The Letterhead Kit is of the most
- famous signature available--"made large so that the King can read
- it without his spectacles." You will probably choose to
- substitute your own scanned signatures.

- SCANNED LOGOS: Registered users may also choose to have their
- logo or signature scanned at 400 dots per inch and converted to
- WPG format. Enclose $10.00 additional for each logo or signature
- to be prepared.
-
- IMPORTANT: Include a clean copy of your logo, preferably
- shipped as a sandwich between two index cards. Use a
- non-textured white paper. For signatures, use a black fine-
- tip marker--NOT PENCIL!
-
- CHANGING OPTIONS
- ----------------

- You can change the height of the scanned signatures, the height
- of the message graphics, the letterhead directory name, and the
- titles of custom forms in the FAX menu. Here's how:
-
- CAUTION: any change in a WP macro, if done incorrectly, can
- cause unpredictable results when the macro is run. This
- causes no permanent damage, but can result in losing unsaved
- files and lots of time. Save all files before running newly

- changed macros. Finally, ALWAYS edit a backup copy of the
- macro, and keep an original safe on another disk.

- WP51: Press Macro Define (Ctrl-F10), type LTR5-CFG, and press
- (Enter). Choose (2) Edit. A file similar to this should appear,
- along with some comment lines:

- WP60: Open the file LTR-CFG.WPM, found in your macro directory.
- A file similar to this will appear, along with comments, and some
- macro commands. You may edit only the commands listed here:

- You may edit the descriptions, path, and sizes as you like, but
- you must leave both quotation marks in place on the text items.
- Note that the two measurements do not use quotation marks. Do not
- use more than one line for any of the forms descriptions. Choose
- File, Save from the menu when done.

- WP60 AND WP51: For either program, you may remove the
- descriptions already in the file if you have less than ten custom
- forms. Simply remove the existing text, but leave the variable
- names and tildes(~) in place in the WP51 macro, or the variable
- names and quotation marks in the WP60 version.

- EDITING EQUATIONS AS TEXT--WP 5.1
- =================================
-
- Nearly all letterheads will benefit from the use of a reasonably
- oversized typeface. In WordPerfect 6.0, everyone can use the
- built-in scalable fonts to create large lettering. In WP 5.1,
- however, not all users will have a printer or add-on font package
- that provides scalable fonts. For WP5.1 users who have no other
- way to create a large typeface, WordPerfect can print large print
- in two additional ways: The typeface may be imported as a graphic
- from DrawPerfect, which works reasonably well, or the typeface
- may be created in the Equation Editor, which can print any text
- needed in any size. The sample letterheads provided with The

- Letterhead Kit for DOS use the Equation Editor to provide large
- text.

- In most ways, using the Equation Editor to provide text for a
- letterhead, or for a newsletter headline, is no different than
- using it for mathematics. However, the tips below should help
- adapt the editor to our simpler uses.
-
- 1) To edit an equation, press Graphics (Alt-F9), (6) Equation,
- (2) Edit, type the equation number (or accept the default), and
- press (Enter). Press (9) Edit to enter the Equation Editor. In
- the bottom box, edit the text as you would edit normal text.
-
- Changes that you make will not show in the equation display box
- until you press Screen (Ctrl-F3) to redraw the equation. When you
- are finished making changes, press Exit (F7) twice to return to
- the document screen.
-
- For more help, enter the Equation Editor as above, and then press
- Help (F3). (The Equation Editor help screen cannot be reached
- from outside the editor.)
-
- 2) The Equation Editor, by default, uses italics for everything.
- To print any text in a normal typeface, enclose the text in
- brackets, and place "func" before it, like this:
- func{This text will print in a normal typeface.}
-
- 3) Spaces between words will not appear as spaces in the
- equation. The example above will print as "Thistextwillprint..."
- Replace all full size spaces with tildes, like this:
- func{This~text~will~be~properly~spaced.}
-
- 4) Half-size spaces are available. Some spaces using the tilde
- will be too large, so replace tildes as needed with the reverse
- single quote:

- 5) Some words represent mathematical commands or symbols, and
- will not normally print as text. Any word listed in the
- right-side box on the Equation Editor screen has a symbol
- attached, but here are the words and characters most likely to
- cause problems in normal text:

- Precede those words with a reverse backslash to tell the Equation
- Editor to print the word instead of the symbol.
- "Wilma & Betty's Over & Under Weavers, Inc." would become:

- 6) The size of text is set by pressing Setup (Shift-F1) from
- within the Equation Editor, and then choosing (2) Graphical Font
- Size, (2) Set Point Size, typing the size in points, and pressing

- (Enter) to return to the Equation Editor. One point equals 1/72"
- of an inch, and normal text ranges from 10 to 12 points. Try
- using 18 to 24 point text as a starting point for your
- letterhead.

- Normally, all the text within the equation will use the same
- point size. However, in releases of WordPerfect dated 12/31/90
- and later, the new SCALESYM command will allow portions of an
- equation to be made larger or smaller. Here is the description of
- the new command, from the WordPerfect Corp. Enhancements disk:

- Equations, Command Syntax (12/31/90)
- The SCALESYM command has been added to the Equation Editor.
- The syntax is SCALESYM n symbol, where n is the percentage
- of the normal size of the symbol. For example, to make the
- integral sign 300% larger, type SCALESYM 300 int.

- These hints and explanations should not be needed for using the
- letterhead, blank forms, macros, and message graphics, but
- browsing through them may save you time and improve your results.

- THE FILES ARE MISSING. DID YOU INSTALL?
- ---------------------------------------

- Check the location of the files copied from the distribution
- disk. The .FRM files and .WPG files must be in the c:\ltrhead
- directory unless installed somewhere else using the instructions
- on page 10, and the .WPM files must be in the macro directory.
- See the details beginning on page 8.

- PAYMENT GRAPHICS PRINT BADLY
- ----------------------------

- Check the Graphics Quality setting on the print menu. The default
- setting is medium. Try using high quality instead. You may set
- the graphics quality as you print each document, or you may reset
- the default setting to high in the setup menu. WP51: Press Setup
- (Shift F1), (4) Initial Settings, (8) Print Options, (3) Graphics
- Quality, (4) High, Exit (F7). WP60: Press Print (Shift-F7), Setup
- (Shift-F1), (4) Graphics Quality, choose High, and press Exit
- (F7) twice to return to the editing screen.

- FORMS PRINT VERY SLOWLY
- -----------------------
-
- Tables, scalable fonts, and graphics are printed on most printers
- as a series of dots. Every dot's position must be calculated by
- WordPerfect. This takes time, but there are some things you can
- do to speed up the process. The graphics quality setting slows
- down printing if set to High (see above). You may decide to
- compromise, and use Medium, but it's not recommended for business
- correspondence. Instead, try these solutions:
-
- Try the Print to Hardware Port option. This option will not work
- with networks, some serial printers, or font packages that
- replace the WP printer driver.
-
- WP60: Press Print (Shift-F7), (S) Select, (E) Edit, and add a
- check in the box marked Print to Hardware Port. Click on OK and
- Close to return to the document screen.
-
- WP51: In releases dated 6/29/90 and later. (Press Help (F3) to
- find your release date at the top right corner of the screen.
- Press (Enter) to exit help.) From the document screen, press
- Print (Shift F7), (S) Select, (E) Edit, (7) Print to Hardware

- WORDPERFECT 5.1 FREEZES DURING PAGE PREVIEW OR SPELL CHECK

- These problems are not caused by the letterhead forms or macros.
- Versions of WordPerfect 5.1 dated through March 1990 had
- confirmed problems with these functions. If your WP release date
- is earlier than 6/29/90, we strongly recommend upgrading to the
- current release, or switching over to WordPerfect 6.0, if your
- hardware can handle it. Call WordPerfect Sales at 1-800-321-4566,
- with your license number and credit card, and order the new
- disks. The upgrade charges are for shipping only, and well worth
- it. While you are on the phone, get the current disks for your
- printer--it is best to use a printer driver release dated close
- to the release of your program disks.
